Problems

This is a known problem caused by the latest Adobe Reader

If the support center seems a little busy lately it's
because of the latest Adobe Reader update. There's a small conflict with
the update configuration and it causes customers to
"disappear." Don't worry they are still there, just click on
the links above or give the support center a call.
A new feature has been added called Restricted Access
Users. This feature is designed to give additional security for agencies
with outside producers. Designated producers can be limited to viewing
only their customers.

Feature - Restricted Access Users
Sometimes there is a need to restrict which customers a
CSR or Producer is able to view or access. The Restricted Access Users
(RAUs) allows administrators to assign customers to designated producers,
preventing the them from seeing other clients.
To use this feature, login as the administrator and go to
System Setup and then User Setup. Select a CSR/Producer and look in the
lower portion of the Permissions section. There is a checkbox for RAU.
Selecting this box will allow this CSR to only see customers assigned to
them.
In a customer folder, to the right of the phone numbers
is a new button for additional information. Clicking this box will allow
the administrator to select which restricted users have permission to
view this customer folder.

Processing
Downloads Correctly
Company downloads are designed to be a quick, easy way
to reduce paper and user error in data entry. In order to ensure that the
download does not create duplicate Customer folders or policies, we have
provided below some helpful information and guidelines below.

Initial loads are meant to populate an
empty database. If you are starting with a new company but already have
customers, you probably don't want to request initial loads.
·
Daily downloads are the daily
transactions. Companies send these files when you have new transactions
such as new business, renewals, cancellations, etc.
·
If you get an Error
Customer Not Found or Error Policy
Not Found it is because Agency Advantage cannot find an exact
match on the name or policy. These errors must be handled manually be (double-clicking
on the record selector to the left) before posting to the database.

If the item with the error is a policy
change, cancellation, or reinstatement you will need to match up the
customer name and policy (check the numbers and expiration/effective
date). If it is anything else, just match up the customer name.

If it says Error
Customer Not Found, before you post the individual to the
database, check the box that says to Update Customer Name and Address in
WinAA. This will prevent the same customer from having an error in the
future.

If you fail to match the customers, the
likely result will be duplicate customers folders.
