From
the Editor
Time. We just don't have enough of it these days, so
this issue is dedicated to pointing out a few things that may
save you a little time and maybe a few headaches. The items below seem to
come up on a recurring basis. Take a look, and if you have any questions let
me know.
If you have a question or topic you would like
explained, a story to share, or just a quick useful tip, we'd love to
hear from you. Please send your responses to tina@agencyadvantage.com.

Tips, Tools and Time Savers
Merge customer folders instead of deleting
duplicates.
·
The Agency Advantage has a tool to merge customer
folders, located in the advanced utilities menu. Using this feature
instead of deleting duplicate customers will prevent orphaning receipts,
and losing notes, images, or other important customer information.
·
Click Start - Programs - Agency Advantage
- WinAAUtl. The administrator password is required. Choose 'Merge Two
Customer Folders'.
Proper use of the CSR and PRO fields.
·
The use of both the CSR and PRO fields in a Policy
Activity should only occur when you are splitting commissions between
the two producers. Doing otherwise will cause duplications on your
Production by CSR/PRO report. For more information about the PRO feature
see our support
article.
First 100 customer folders only show up when I
search. Why?
·
This is a function that keeps processing
time to a minimum. Retrieving more than 100 records each time you look up a
customer, would slow your system.
If you find this is a problem, try entering more information for
the search. For example if you are
search by name, and it is a common name, enter the first name as well.
Use of external hard drives.
·
External hard drives are meant to be used for
backing up your data and images only. The read/write capability is not
the same on an external drive as it is for internal hard drives.
This can cause issues with making changes to data.
·
External drives are connected through USB
which can become accidentally disconnected. There are also different
speeds of USB drives. Connecting a USB 2.0 drive to a USB 1.1 port will cause the
hard drive to function as a much slower USB 1.1 drive.
·
Agencies using an external drive to store
images may encounter extremely slow speeds.
When to use Agency Retained Funds on Receipts.
·
Agency Retained Funds is selected on the
receipt when the customer owes your agency, not the insurance
company, money. It is often used in conjunction with the Reduce AR Balance check box.
If a customer has an AR Balance then you would choose Agency Retained
Funds, then check Reduce AR Balance. This will reduce the AR balance on
the account by the Pay Amount listed on the receipt.
